Part 2 — Membership

[This Part deals with Membership of the Association, including who is eligible, categories of Membership, criteria for categories of Membership, and how Membership is recorded. It also looks at the rights and obligations of being a Member, applications, fees and what happens in the case of a dispute or complaint]

Section 2.A — General Eligibility, Categories, Criteria and Records

[This Part deals with Membership of the Association, including who is eligible, categories of Membership, criteria for categories of Membership, and how Membership is recorded.]

General Eligibility

2.A.1 Based on what we've discussed, we understand you'd like membership eligibility set as any individual who plays for or supports the Club

2.A.3 Based on what we've discussed, we understand you'd like membership categories set as Member and Life Member, with any other categories decided by the Committee.

[Honorary Membership recognises NON-MEMBERS who have contributed significantly to the Association, for example a coach who never played, a long-time sponsor, a founding supporter. This is different from Life Membership, which recognises long-serving Members who have made a significant contribution. Honorary Membership is an unusual category, so an association without a history of notable outside contributors may not need this category at all.]

Your current Constitution defines members of any other visiting sporting club "Honorary Members" but this is a courtesy arrangement, not a genuine Club Membership. We strongly recommend that this category be retired with a more suitable title for visiting players and representatives included in the By-laws.

Register of Members

2.A.5   The Secretary must establish and maintain a secure Register of Members, recording for each Member:

(a) name and address;

(b) email address;

(c) phone number;

(d) the date on which the Member was admitted to, resigned from, or was removed from, Membership; and

(e) the date and reason for any suspension or termination of Membership.

2.A.6   The Register of Members must be kept in a manner and location determined by the Committee, and, if kept electronically, must be capable of being converted into hard copy.

2.A.7   A person must not use information from the Register of Members for a commercial, political, or personal purpose unrelated to the Association. Misuse of the Register may result in disciplinary action.

2.A.8   A Member may, on reasonable written notice to the Secretary, inspect the Register of Members at a time and place determined by the Committee. The Committee may impose reasonable conditions on inspection to protect the privacy and safety of Members whose information is being inspected. Inspection does not extend to a Member's address, phone number or email address unless that Member has given express written consent.

Section 2.B — Applications, Subscriptions, Rights and Obligations

[This section explains the Membership application process, fees and subscriptions, and the rights and obligations attached to Membership, including the right to inspect records.]

Applying for Membership

2.B.1 Based on what we've discussed, we understand you're happy for the Committee to determine the membership application process.

Subscriptions and Fees

2.B.2 Based on what we've discussed, we understand you're happy for the Committee to determine Membership subscriptions and fees.

Rights and Obligations

[Members are entitled to participate in the governance of the Association, which includes the right to vote and stand for office, and the obligation to abide by this Constitution and any other Companion Document approved by the Committee from time to time. ]

2.B.3   All Members must comply with this Constitution and any Companion Document.

2.B.4   All Members are entitled to vote on any matter raised at a General Meeting.

2.B.5  All Members are entitled to nominate for election to the Committee.

2.B.6   The rights of Members are not transferable and end when the Member ceases to be a Member.

Inspection of Records

2.B.7   A Member may, on reasonable written notice to the Secretary, inspect the following free of charge, at a time and place determined by the Committee:

(a) the Association's financial records;

(b) this Constitution;

(c) minutes of General Meetings; and

(d) the Register of Members, subject to clause 2.A.7.

2.B.8   A Member may obtain a copy of a document referred to in clause 2.B.7 on payment of a reasonable fee for copying.

2.B.9   The Committee may refuse inspection or copying of records that relate to confidential, personal, employment, commercial or legal matters, or where disclosure may prejudice the Association's interests.
