Section 4.D — Committee Meetings
[This Section details how the Committee will meet, how often and what records will be kept.]
Meeting frequency
Committee quorum
4.D.2 Most Committees set a quorum of 50% of Committee members, plus one. Would this suit your Club?
Minutes
4.D.3 Minutes of every Committee meeting must be kept, confirmed at the next Committee meeting, and signed by the person who presided at the meeting or by the person presiding at the meeting where they are confirmed.
4.D.4 Minutes of meetings, together with reports and other documents presented or considered at those meetings, must be kept in a secure location as determined by resolution of the Committee from time to time. Records may be kept in digital format provided they can be accessed, read and printed in a readable form.
Use of technology
4.D.5 A Committee meeting may be held using any technology that allows Committee members to participate in the business of the meeting, exercise their voting rights and be heard by other participants, whether or not all Committee members attend the same physical location.
4.D.6 A Committee member participating by that technology is taken to be Present at the meeting.
Voting
4.D.7 Every Committee member present, including the person presiding, has one vote.
Our recommendation is that if votes are equal, the motion is declared lost.
